Executive Assistant & Office Operations Manager

About Us

Hancock Aviation is a top-tier aviation organization specializing in the sales, service, management, and maintenance of private and corporate aircraft. We have recently expanded into a new hangar facility in Baton Rouge and are actively preparing for FAA Part 145 Repair Station certification.

We are seeking a highly capable Executive Assistant & Office Operations Manager to support executive leadership and ensure smooth, professional office operations during a critical growth phase.

Job Description

The Executive Assistant & Office Operations Manager will serve as a key operational support role within Hancock Aviation. This position is responsible for supporting executive leadership, managing front-office workflow, coordinating internal communication, and ensuring customers and vendors receive timely, professional responses.

This role requires strong organizational skills, excellent communication, sound judgment, and the ability to work independently in a fast-paced, regulated environment.

Responsibilities

  • Provide direct executive support to the company president, including tracking priorities, follow-ups, and approvals
  • Manage and triage incoming phone calls, emails, and customer inquiries
  • Draft professional correspondence for customers, vendors, and partners
  • Coordinate communication between maintenance, parts, accounting, and management teams
  • Ensure customer requests are logged, routed, and followed through to completion
  • Maintain organized digital records, documents, and correspondence
  • Assist with invoice coordination, approval tracking, and administrative follow-up
  • Develop and maintain office procedures, checklists, and workflows
  • Support documentation and organization related to FAA Part 145 preparation
  • Identify workflow bottlenecks and proactively recommend improvements

Qualifications

  • 5+ years of experience in executive support, office management, operations coordination, or a similar role
  • Strong written and verbal communication skills
  • Excellent organizational skills with high attention to detail
  • Ability to manage multiple priorities and deadlines independently
  • Professional demeanor with customers, vendors, and internal staff
  • Comfortable working in a fast-paced, evolving environment
  • Strong follow-through and problem-solving ability

Preferred Qualifications

  • Experience supporting senior leadership or business owners
  • Background in operations, logistics, or regulated industries
  • Aviation or technical services experience (preferred, not required)
  • Familiarity with QuickBooks, CRM systems, or operations software
